Introduction

This privacy policy applies to AutoSettle Australia Pty Ltd (ACN 669 596 098) (“AutoSettle”). 

AutoSettle operates an online motor vehicle exchange platform that allows subscribers (including buyers, sellers, dealerships, automotive financiers) to complete vehicle transactions electronically.

AutoSettle is covered by the Privacy Act 1988 (Cth) and will be complying with the Australian Privacy Principles (APP’s).

Protecting your privacy is important to us. This policy explains how we manage personal information within our organisation in accordance with Australian privacy law. 

What types of personal information do we collect?

Information about Subscribers

When a person or organisation subscribes to the AutoSettle network and uses our platform services, we may collect personal information such as:

  • Contact details, including address, email address, and mobile number;
  • Drivers licence;
  • Verification of identity information; and
  • Banking details for processing transactions.

Information about Buyers and Sellers

If you are a buyer or seller utilising our services, directly or through a representative, we collect information including:

  • Identifying information such as name, address, email, and date of birth;
  • Details about the vehicle transaction, including registration details, vehicle identification number (VIN), car history, purchase/sale price, and payment details.

Information about Users of our Website or Services

When you interact with our website or services, we may collect information like:

  • Name and email address;
  • Usernames and passwords;
  • Details of services provided to you;
  • Usage data for our services;
  • Communication records with us.

Information about Others

We collect information needed to conduct business with contractors, suppliers, business partners, and their employees.

Personal information collected via application

When you apply for a position with us, we collect information necessary for the recruitment process, and when you work with us, we collect information for employment management purposes.

How do we collect personal information?

We collect personal information directly from you, through your use of our services, from third parties involved in the transactions, and sometimes from public sources or third parties who may refer you to us.

Why do we collect and use personal information?

We collect personal information to:

  • Operate our virtual settlement exchange;
  • Perform vehicle transactions and related services;
  • Verify identity and comply with legal requirements;
  • Provide customer support and services;
  • Improve and develop our services;
  • Send you information about products and services;
  • Manage legal and regulatory obligations.

Who do we disclose personal information to?

We may share your personal information with:

  • Participants in vehicle transactions;
  • Your representatives (e.g., financier or dealership);
  • Financial institutions;
  • Service providers;
  • Our staff, group companies, and professional advisers;
  • Government authorities as required by law.

Outside of these examples, we do not disclose personal information to third parties without consent, nor do we disclose personal information outside of Australia. 

How do we store and secure your personal information?

All personal information is encrypted in transit and encrypted at rest. When personal information is sent to AutoSettle, it is stripped out and hashed (salted SHA512) and only the hashes are searchable.

All personal information is encrypted in transit (TLS 1.2, 4096 bit keys) end-to-end and at rest (AES256-GCM using AWS KMS for S3, EBS and DB). Regular backups are separately encrypted, then stored electronically (also using AES256-GCM encryption) on secure servers located in Australia. 

We use various security measures to protect the personal information we hold. We use cloud technology for storage, and for compliance purposes store data for 7 years, unless subject to a deletion request, after which we take all reasonable steps to destroy the information and/or ensure that it is de-identified. 

We take all reasonable steps necessary to protect personal information from misuse, interference and loss, as well as unauthorised access, modification or disclosure.

How can you access and correct your information?

You can contact us to access or correct any personal information we hold about you. We will take reasonable steps to ensure that the information is accurate and up-to-date. You can also contact us to request deletion of your personal information.
